ProSev (“we”, “our”, or “us”) operates a field trial management platform designed for agricultural research teams. This Privacy Policy explains how we collect, use, store, and protect information when you use our platform at prosev.app and any associated services (collectively, the “Service”).

By accessing or using ProSev, you agree to the collection and use of information in accordance with this policy. If you do not agree, please discontinue use of the Service.

2. Information We Collect

2.1 Account Information

When you register for an account we collect your full name, email address, and a securely hashed password. Organisation administrators may also provide a role assignment and team membership details.

2.2 Field & Location Data

ProSev uses GPS coordinates and geospatial data to map field boundaries, assign plot locations, and verify that data observations are recorded within designated field areas. This location data is tied to your organisation's trial records and is never used for personal tracking outside of the platform.

2.3 Trial & Research Data

All experimental designs, treatment records, plot assignments, observations, measurements, and attached media that you enter into the platform are stored as part of your organisation's research data. This data belongs to your organisation and is held on your behalf.

2.4 Usage & Audit Data

We automatically collect audit logs of user actions — such as creating trials, submitting observations, approving records, and modifying team settings. These logs are used for accountability, compliance, and to provide the audit trail features of the Service.

2.5 Device & Technical Data

We may collect your IP address, browser type, operating system, and referring URLs to diagnose technical issues, monitor service performance, and improve the platform. This data is not linked to your identity for marketing purposes.

3. How We Use Your Information

  • To create and manage your account and organisation workspace.
  • To provide the core features of the platform — trial design, field mapping, data collection, approval workflows, and analytics.
  • To enforce role-based access controls and ensure team members can only access data they are authorised to view.
  • To maintain audit trails and support compliance requirements for agricultural research.
  • To send transactional emails such as account verification, password resets, and in-platform notifications (e.g. observation review requests).
  • To detect, investigate, and prevent fraudulent or unauthorised use of the Service.
  • To improve and develop new features, using aggregated and anonymised usage patterns.

4. Data Sharing & Disclosure

4.1 Within Your Organisation

Data you enter into ProSev is shared with other members of your organisation according to the role-based permissions your administrator has configured. Team members with the appropriate permissions can view trials, observations, field sites, and reports relevant to their role.

4.2 Service Providers

We use trusted third-party providers to operate the Service, including cloud hosting, database infrastructure, and map tile rendering. These providers process data solely on our instructions and under confidentiality obligations. We do not authorise them to use your data for their own purposes.

4.3 Legal Requirements

We may disclose your information if required to do so by law, court order, or regulatory authority, or if we believe in good faith that such action is necessary to protect the rights, property, or safety of ProSev, our users, or the public.

4.4 No Sale of Data

We do not sell, rent, or trade your personal information or your organisation's research data to any third party for commercial purposes.

5. Data Retention

We retain your account and research data for as long as your organisation account is active or as needed to provide the Service. If you request deletion of your account, we will remove your personal data within 30 days, subject to any legal obligations to retain certain records. Anonymised and aggregated data may be retained for analytical purposes.

6. Data Security

We implement industry-standard security measures to protect your data, including:

  • Encryption of data in transit using TLS.
  • Encrypted storage of passwords using secure hashing algorithms.
  • Role-based access controls limiting data exposure within the platform.
  • Regular security reviews and infrastructure monitoring.

No method of electronic transmission or storage is 100% secure. While we strive to use commercially acceptable means to protect your information, we cannot guarantee absolute security.

Depending on your jurisdiction, you may have the right to:

The Service is intended for use by professional agricultural research teams and is not directed at children under the age of 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will promptly delete it.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date at the top of this page and, where the changes are significant, notify you via email or an in-platform notice. Continued use of the Service after changes take effect constitutes your acceptance of the revised policy.
